We are seeking an experienced and highly organised Administrative Assistant, Learning Diversity and Wellbeing to provide high-quality administrative support to the Directors of Students and teams responsible for Learning Diversity and Wellbeing, playing an important role in supporting the day-to-day operations of these key areas of our growing College.

We’re looking for a proactive and collaborative professional who thrives in a fast-paced environment, has excellent organisational skills and enjoys building positive relationships with students, families, staff and the wider school community. You will be an integral member of a collaborative team, helping ensure effective administration, coordination and support across Learning Diversity, Wellbeing and related student services.

Kolbe Catholic College is a co-educational Year 7 to 12 school located across two vibrant campuses in Melbourne’s northern suburbs, St Clare of Assisi Campus in Greenvale and St Catherine of Bologna Campus in Mickleham. Your duties will include:

  • Coordinate Learning Diversity administration, including PSG meetings, documentation, student records, NCCD requirements and learning support processes.
  • Provide administrative support for student learning and wellbeing, including coordinating appointments, correspondence, documentation and arrangements involving students, families, staff and external professionals.
  • Support the daily coordination of Learning Support Officers (LSOs) and assist with the effective administration of Learning Diversity services across the College.
  • Provide high-level administrative support to the Directors of Students, including diary and meeting coordination, correspondence, records, reports, presentations and general office administration.
  • Build positive relationships and ensure effective communication with students, parents/carers, staff, leadership and external providers, while maintaining confidentiality, accuracy and professional standards.

Skills and experience

To be successful in this position you will have the following:

  • Excellent communication and interpersonal skills, with the ability to build positive working relationships and provide professional and responsive support to staff, students, families and external stakeholders.
  • Strong attention to detail and discretion, with a commitment to accuracy, quality, confidentiality and the appropriate handling of sensitive student and College information.
  • Strong digital and systems capability, with confidence using administrative and information management systems; experience with Synergetic and/or in a school environment will be highly regarded.
  • A collaborative and positive approach, with enthusiasm, professionalism and a willingness to contribute to continuous improvement, support colleagues and uphold the College's commitment to child safety.

     

Mandatory Requirements

  • A current Working with Children Check (WWCC).
  • A current National Criminal Records Check.
  • Demonstrated commitment to the Child Safe Standards and the College’s child safety policies and procedures.
  • Willingness to comply with all relevant College policies, procedures and legislative requirements.
  • Commitment to maintaining confidentiality and professional standards when working with students, families and staff.
